About the Opportunity
The Construction IT Alliance (CitA) is seeking a Project Administrator for a 12-month fixed term contract opportunity working three days a week (Tuesday to Thursday). This role involves contributing to a nationally funded high-profile digital platform promoting Modern Methods of Construction (MMC).
The successful candidate will report directly to the Project Co-Ordinator and General Manager of CitA, collaborating with a diverse project team.
Responsibilities
- Maintain and update attendee registration lists
- Coordinate onsite registration desk for internal events
- Send invitation emails, reminder emails, and follow-up communications
- Prepare thank-you for registration emails
- Coordinate badge printing with designer
- Liaise with speakers and follow up on presentation submissions
- Share agendas, invitation assets, and presentation deadlines with speakers
- Update presentation slides and review presentation materials
- Support the development of event presentations and promotional content (Canva, Figma, images for event invitations)
- Coordinate with suppliers regarding AV, catering, furniture, accommodation, transport, and event requirements
- Follow up on quotations, availability, and delivery arrangements
- Support event setup and onsite delivery
- Coordinate equipment lists, and technical arrangements
- Manage tablets, chargers, merchandise, badges, and printed materials
- Check venue locations, access arrangements, and event logistics
- Update event pages and website content
- Upload and publish research reports, courses, industry insights, and event materials, support page content, Day in the Life content
- Coordinate website updates, including page amendments, logos, and content revisions
- Maintain and update the Figma archive of article cover images
- Upload and publish post-event videos (Vimeo, Platform)
- Maintain and update Mailchimp audiences
- Manage automated email flows for event forms
- Monitor email campaign performance and audience changes
- Collect, upload to SharePoint and update receipts spreadsheet
- Upload new companies to Sonrai, upload attendance profile forms to Sonrai after internal events
